Responding to every Google review (not just the bad ones) is one of the strongest local-pack ranking signals Google won't explicitly name. Here's how to write replies that move your rank, and why most owners get this wrong.

Why this matters

Reply activity is a ranking signal.

Google's local algorithm reads reply activity directly. A business that replies to every review consistently ranks higher than one with the same rating and review count but no replies. The signal goes both ways: it tells Google the business is actively running, and it tells future customers that someone is reading and cares.

The non-obvious part is that 5-star reviews matter as much as negative ones. Most owners only reply when something goes wrong. Skipping the easy wins gives up half the ranking benefit, and it makes the replies you do write read as defensive rather than gracious.

The framework

What a good reply looks like.

Do

  • Use the reviewer's name (the version they wrote it under, not what you call them).
  • Reference a specific detail from their review (the service, the staff member, the outcome).
  • Keep it 2 to 4 sentences. Not a paragraph, not a one-liner.
  • Sign off in your voice. Not 'The Team'. Not 'Management'. Your name, or the staff member's.
  • Reply within 24 hours. Faster signals an active business.

Don't

  • 'Thanks for the 5-star review!' on every single one.
  • AI-generated replies that all use the same opening line.
  • Ignoring 4-star reviews because they're 'fine'.
  • Apologising to a fake negative review before checking if it's policy-violating.
  • Letting a bad review sit for weeks before responding.
